Privacy Notice

What we do with personal information about donors, volunteers, partners, and the families we support, and the rights you hold over it.

1.Who we are

JKAiD Hope Foundation is the trading name of THE JKAID HOPE FOUNDATION LBG, a company limited by guarantee incorporated in Ghana on 19 January 2026 under the Companies Act, 2019 (Act 992), with company registration number CG003030126. We are registered as a not-for-profit with the Department of Social Welfare.

We are the data controller for the personal information described in this notice. Our registered address is UNN.HSE, 2nd Floor, DCL Towers, 100 Boundary Road, near Ogbojo Roundabout, La Nkwantanang-Madina, Accra, Greater Accra (digital address GD-063-3711), and our postal address is P.O. Box 10854, Cantonments, Accra, Ghana.

This notice explains what personal information we collect, why we collect it, who we share it with, how long we keep it, and the rights you hold over it under Ghana's Data Protection Act, 2012 (Act 843).

2.Information we collect, and why

We only ask for information we have a use for. What we hold depends on how you interact with us.

  • Donors: your name, email address and, where you give it, your phone number. We use these to process your donation, send you a receipt, and comply with our financial record-keeping obligations.
  • Volunteers: your name, contact details, city, availability, skills and your reasons for applying. We use these to assess your application and to contact you about volunteering.
  • Partner and corporate enquiries: your name, role, organisation, contact details and what you are proposing. We use these to respond to your enquiry.
  • Event registrations: your name and contact details, so that we can register you and communicate about the event.
  • General enquiries: your name, email address, phone number, subject and message, so that we can reply.
  • Families we support: the information needed to assess and fund a child's care. This is set out separately below because it needs a higher standard of protection.

3.Information about children and families we support

When a family applies to us for help, we necessarily receive information about a child's medical condition and their family's financial circumstances. Under Act 843 this is special personal data, and we treat it accordingly.

  • We collect it only to assess eligibility under our case protocol, to fund and coordinate treatment, and to monitor the child's recovery.
  • Access is restricted to the staff who need it to do that work. It is not used for fundraising material, published on this website, or shared with donors as a matter of course.
  • We do not publish a child's name, photograph, or medical story without the written consent of a parent or guardian, obtained separately from any consent to treatment or funding. Consent may be withdrawn at any time.
  • Where a family consents to their story being told, we still withhold identifying detail wherever they prefer it, and we do not treat consent given once as consent given for every future use.
  • Nothing about a child's care is conditional on agreeing to publicity. A family that declines is helped on exactly the same terms as one that agrees.

4.Donations and payment information

Donations made through this site are processed by Paystack, which is licensed to process payments in Ghana. Your card or mobile money details are entered on Paystack's systems and are never sent to, seen by, or stored on ours. We receive confirmation that a payment succeeded, the amount, and the contact details you supplied so that we can issue a receipt.

Where an international payment is processed on our behalf by Stripe, the same applies: the payment details are handled by Stripe, not by us.

We keep a record of donations received. This is a legal and financial record-keeping obligation, and it is also how we report to our Board and to funders on where money has gone.

5.Cookies and tracking

This website does not run an analytics package, an advertising pixel, or any third-party tracker, and we do not build profiles of visitors.

Our forms are protected by Cloudflare Turnstile, which distinguishes people from automated abuse. It sets a token in your browser for that purpose alone. If a form is submitted, we retain no information from Turnstile beyond whether the check passed.

If we ever add analytics, this notice will be updated to say what it is and what it records, in the same change that adds it.

6.Who we share information with

We do not sell personal information, and we do not share donor or supporter lists with other organisations.

  • Partner hospitals: where it is necessary to arrange, fund, or follow up a child's treatment.
  • Payment processors: Paystack, and Stripe for international payments, to take a donation.
  • Cloudflare: to run the anti-spam check on our forms.
  • Our professional advisers, auditors, and regulators, where we are required to account for our activities or where the law obliges us to disclose.

Where a supplier processes information on our behalf, they may use it only for the purpose we have engaged them for.

7.How long we keep it

We keep financial and donation records for as long as Ghanaian law requires us to account for them, and currently for seven years from the end of the financial year they relate to.

Case records for children we have funded are kept for as long as needed to monitor recovery and to evidence how funds were applied, and are then archived with access restricted.

Enquiries, volunteer applications that do not proceed, and event registrations are kept for up to two years and then deleted.

If you ask us to delete information we are not legally obliged to retain, we will.

8.Keeping information secure

Information submitted through this website travels over an encrypted connection. Our internal records are held in an access-controlled system, and staff see only the records their role requires.

Medical information about the children we support is held under additional restriction, and every access to it is logged.

No system is perfect. If a breach occurs that is likely to affect you, we will tell you and the Data Protection Commission as required.

9.Your rights

Under the Data Protection Act, 2012 (Act 843) you have the right to:

  • ask us whether we hold personal information about you, and to be given a copy of it;
  • have information that is inaccurate corrected, and information that is incomplete completed;
  • ask us to stop processing your information, including stopping contact from us at any time;
  • ask us to delete information where we have no continuing reason to hold it; and
  • complain to the Data Protection Commission of Ghana if you believe we have handled your information wrongly.

To exercise any of these, write to us at info@jkaid.org. We will respond within the period the Act allows, and we will not charge you for a request unless it is repetitive or excessive.

You do not need to give a reason, and asking will never affect the support you or your family receives from us.

10.Changes to this notice

When we change this notice we update the adopted date at the top of this page. Where a change materially affects how we use information you have already given us, we will tell you directly rather than relying on you to notice the change here.
